The Directed Energy to DC Exhibition (DE2DC) is part of the Directed Energy Outreach Campaign, which has been successfully educating decision makers and warfighters on RF and laser directed energy weapons technologies and capabilities since January 2009. The DE2DC Exhibition provides an opportunity for Government and industry from across the United States to educate and exhibit mature directed energy hardware at the Pentagon and on Capitol Hill. The 2015 DE2DC Exhibition will be held in Washington DC on 28-30 April 2015. The event begins with a poster reception at the Rayburn House Office Building on Tuesday evening, followed by the Pentagon Courtyard exhibition on Wednesday. The event closes with an exhibition at the Rayburn House Office Building on Thursday.

Exhibit space at the Rayburn House is limited, offering 6x10 foot space with table, suitable for exhibits and posters. The Pentagon Courtyard exhibition offers large 10x10 tented spaces, suitable for exhibits, posters, and large hardware. Exhibit spaces will be distributed on a first come, first serve basis.

The DE Caucus, co-chaired by Representative Doug Lamborn (R-CO) and Jim Langevin (D-RI), will be our host at the capital and ASD (R&E) is our host at the Pentagon.

Exhibit Options & Fees

Rayburn House Office Building Evening Reception , Tuesday, 28 April 1600-1900

  • DEPS Sponsors: $1400; Others: $1800
  • Includes 2x2 poster space and two attendees
  • Posting of material beginning 1500 and completed no later than 1600 when the reception begins.

Pentagon Courtyard Exhibit, Wednesday, 29 April 1100-1400

  • DEPS Sponsors: $2500; Others: $2800
  • Includes 10x10 tented space, table, two chairs, and two attendees (electricity may be requested)
  • Setup begins at 0900 on Tuesday 28 April and tear down immediately following the exhibition on 29 April

Rayburn House Office Building Poster Reception and Atrium Exhibition, Tuesday, 28 April 1600 - 1900 and Thursday, 30 April 1100-1400

  • DEPS Sponsors: $2000; Others: $2500
  • Includes 6x10 space, table, two chairs, and two attendees
  • Standard wall socket electricity available, bring your own power strip and extension cord
  • Participation in Rayburn House Reception also included for two attendees
  • Set up begins at 0800 until 1030 and tear down immediately following the exhibition

Exhibit Application

Due to security requirements for this event, the deadline for submitting exhibit applications has passed. If you have any questions, or need to register staff for which security information has already been provided, please contact Tiffany Bjelke at (505) 998-4910 or email tiffany@deps.org.

Exhibitors requesting cancellation through 31 March will receive a full refund. Cancellations after 31 March are subject to a $250 cancellation fee. No refunds will be given after 14 April.

Accommodations

The recommended hotel for this event is the Residence Inn Arlington Pentagon City, 550 Army Navy Drive, Arlington, VA 22202. We have reserved a block of rooms at reduced rate at the Residence Inn for Exhibitors at this event. To reserve a room, call reservations at 1-800-331-3131 and ask for the 'Directed Energy Meeting Room Block at the Residence Inn Arlington Pentagon City' or click here for online reservations. Make your reservations early; the room block will expire by 3 April. Please note that this hotel charges a parking fee of $26 per day.

The hotel reserves the right to enforce its policies, procedures, and cancellation fees. DEPS is not responsible for any hotel cancellation charges, penalties, or billing discrepancies.

Timeline for Exhibitors

Rayburn Reception Posters
Poster setup begins at 1500 on Tuesday, 28 April with setup complete no later than 1600 when the reception begins. The specific room at the Rayburn House will be posted once confirmed. Reception hours are scheduled for 1600 to 1900, and posters should be removed immediately after. Any posters left after 1900 will be destroyed.

Pentagon Displays
If you need to drive your items into the Pentagon, you will need to arrive at the Residence Inn no later than 0700 on 28 April in order to join the caravan to have your vehicle swept. We are all required to arrive at the same time. Similarly, you must return your vehicle to be swept by 1400 on 29 April. Only vehicles and set up crews pre-screened before the event will be granted access.

Rayburn Displays
All items for display must begin entering Capitol Police security no later than 0700 on Thursday, 30 April in order to be cleared for our load in to the Rayburn Building, which will begin at 0900. Display hours are set for 1100 to 1400, with tear down promptly at 1400 and completed as quickly as possible. Only vehicles and set up crews pre-screened before the event will be granted access.

Shipping & Transport
To help with crunched set up times and security, DEPS will have moving vans available to aid in transport of large items to and from the Pentagon and Rayburn House exhibitions. Arrangements for space need to be confirmed via email to Cynnamon Spain at cynnamon@deps.org no later than 1200 on Friday 17 April. DEPS staff will be available at the Residence Inn hotel Monday 27 April from 1000 to 1500 to receive items for the transport. The vans can transport items to and from Rayburn and to and from the Pentagon.

DEPS staff will be available to receive items shipped to the Residence Inn Friday, 25 April. Clearly mark all packages with your company name visible and ship to the Residence Inn Pentagon City, "Attention Cynnamon Spain, DE2DC Event",550 Army Navy Drive, Arlington, VA 22202. Hand-carried items can be dropped off Monday 27 April from 1000 to 1500.

Security

All Persons participating in the DE2DC event, including delivery drivers and set up personnel, must be U.S. citizens and must request access by submitting the following security information to DEPS no later than end of day on 27 March 2015.

Persons having access to the Joint Personnel Adjudication System (JPAS) should send visit notification via JPAS with:

  • Purpose of Visit: DE2DC

  • Dates of visit: 28-30 April 2015

For those persons not having access to JPAS, a "Visitor Certification" request should be submitted providing the information listed below. The request must be on agency letterhead (or on the agency's Visit Request Form which includes all of the required information). For each individual, the request must include:

  • Full name
  • Social Security Number *
  • Full location and date of birth
  • If no clearance exists for the individual then signed verification of U.S.Citizenship is required
  • Dates of Visit
  • Purpose of Visit
  • POC in individual's agency
  • Background investigation date (clearance date) if no investigation please write "No background investigation, Please run an NCIC check"
    Note: if we have to run the background check it will take longer than 72 hours to process. Please plan accordingly.
This information should be faxed to Tiffany Bjelke, DEPS FSO 505-998-4917. Alternatively, if you have encryption capability, you may email the information to tiffany@deps.org.

* Social Security Numbers should not be sent via email unless the email is encrypted. If you do not have encryption capability, you must fax your information to the number provided.

Please note that all names and visit requests must be submitted no later than Friday, 27 March and no additional names can be added after that time. For this reason, we suggest that you submit visit requests for any persons who are potential attendees, such as alternate staff or additional drivers or setup personnel. Only those persons who have submitted visit requests by this time will be allowed access to the premises.
