Attendance Information
Attendance for the DE T&E Joint Conference on T&E Support to Prototyping and Experimentation
is open to anyone with an interest in the subject matter of the Conference. However, due to government
security regulations, foreign participation will not be permitted this year. Additionally, some conference
sessions and short courses may be restricted to U.S. government employees, Department of Defense personnel,
or their contractors. We appreciate your understanding and cooperation.
The conference will be held 3-6 February 2025 in Albuquerque, New Mexico.
at the Albuquerque Marriott in Albuquerque, NM.
Accommodations
The DE T&E Joint Conference will be held at the
Albuquerque
Marriott, 2101 Louisiana Blvd NE, Albuquerque, NM and an offsite location.
DEPS has negotiated a block of rooms for Conference attendees at government rates at the conference hotel;
reservations should be made through the Marriott's online reservation system below.
Make your reservation early; the room block will expire on 17 January 2025.

The Hotel reserves the right to enforce its policies, procedures, and cancellation fees.
DEPS is not responsible for any hotel cancellation charges, penalties, or billing discrepancies.
Companions
Companions are always a welcome addition to any DEPS meeting. To encourage them,
we offer companion meal options at an additional cost. Our full meal option includes all meals that
are provided for regular attendees including any evening and specialty functions that may be planned. For
those companions who do not want to be tied to
scheduled meal functions, we also offer a reception only option which includes only the Wednesday
evening reception.

Registration fees include participation in all Conference sessions for which the attendee qualifies; breakfast snacks, coffee breaks, and lunch
Tuesday through Thursday, the evening reception on Tuesday, and a copy of the proceedings. Non-member registrations include either a DEPS membership or an ITEA membership.
Short course registrations include student materials, refreshments, and Continuous Learning Point (CLP) credits
for successful students. Morning courses include breakfast snacks and a box lunch is provided to those attending afternoon courses.

Persons requesting cancellation through 6 January will receive a full refund. Cancellations after
6 January are subject to a $100 cancellation fee. There will be no refunds for short courses after
27 January or for the event after 31 January.
Security
The 2025 Joint DE T&E Conference will have a mix of unclassified and classified sessions, with
some requiring specific access restrictions due to CUI (Controlled Unclassified Information) or
Limited Distribution designations. These restrictions will be enforced according to the following categories:
- Distribution C (Dist C): Access will be authorized for U.S. Government agencies
and their contractors only.
- Distribution D (Dist D): Access will be limited to Department of Defense (DoD)
personnel and DoD contractors only.
In accordance with U.S. government security protocols, all participants must undergo a thorough vetting
process conducted by the DEPS Facility Security Officer (FSO). Only individuals who meet the necessary
security requirements will be granted access to the conference sessions.
Due to government security regulations, this event is closed to foreign participation.
We appreciate your understanding and cooperation in adhering to these requirements.

Note that entry to the classified site will primarily be via one's Common Access Card (CAC).
Participants without a CAC wishing to attend classified sessions
will also need to follow the instructions for base access.
* Registered exhibit staff who are not attending the technical sessions do not have to meet these security requirements but must register.
** A picture ID will be required at check-in and upon entry into the classified and CUI
sessions. Laptops, cell phones, Bluetooth devices such as key fobs, watches, rings & eyeglasses, and any/all
other such electronics will not be allowed in the classified sessions; please
do not bring them to the classified meeting site. Note taking will not be allowed in classified sessions.
*** Videotaping or audio recording of any session at this meeting is prohibited.

All attendees holding a security clearance and having access to Defense Information System
for Security (DISS) should send their visit notification via DISS as described here.
Attendees without a security clearance who wish to attend the CUI sessions should follow these
instructions instead.
Visit Requests for attendees holding a security clearance
DoD Government/Contractor Instructions:
Eligibility and access for all DoD government and contractor attendees will be verified using DISS. Please send a visit notification to
Defense Information System for Security (DISS) SMO Code: 1LNJ4 (choose Directed Energy Professional - 1) with the following information:

Attendees not having access to DISS may submit their classified visit request via fax according to the
instructions to the right. Note that only those without access to DISS may use this method.
Any faxed visit requests for personnel in DISS will be rejected and required to be re-submitted through DISS.

All Other US Government/Contractor Instructions:
Visit requests for attendees not having access to DISS must be typed and on your company letter head. You should use the format that is best suited for your
operation; however, it must contain all applicable information below. The visit request must be signed by your security office/manager
as to verify your employment and clearance status. Without this signature, the visit request is invalid and will not be processed.
All visit requests must be faxed. Visitors can not hand carry their own visit request.
- Full name of attendee
- Job title/position
- Your company name, address, and phone number
- Last 4 of social security number
- Date of birth, place of birth and citizenship
- Clearance level and date granted

Classified Site Access for attendees without valid CACs
If you intend to participate in classified sessions but do not have a valid CAC, then once
your clearance information has been sent, please contact Amanda White to provide her with the
information required for Base Access: (505) 998-4910 or Amanda@deps.org.
Please note that ALL visit requests and Base Access information
must be received by 1500 (3pm Mountain Standard Time) Tuesday, 28 January 2025. Absolutly no exceptions!
Visit Requests for those without security clearances
Attendees without a security clearance who wish to attend only the CUI sessions must
submit a Visit Request Letter as follows. The letter can be in the format best suited for your organization;
however it must contain all applicable information listed below.
The request must be:
- typed and on your company letter head
- signed by your company FSO, immediate supervisor, or program manager who are willing to legally verify the information
- identify you by name as a company employee
- state your citizenship
- include your date of birth and the last four digits of your social security number, and
- state that you work on either Government and/or DoD contracts that gives you a valid need-to-know of CUI Distribution C and/or D information
to be presented at the Joint DE T&E Conference (you may include the contract number(s) here if you choose).
