Attendance Information

Technical sessions of the Directed Energy Systems Symposium will be held at the Hyatt Regency Monterey Hotel, 1 Old Golf Course Road, Monterey, California and at a nearby offsite location within walking distance. Although a shuttle bus will be available, most Symposium attendees choose to walk between venues. Private auto access to the offsite location is greatly restricted, and parking is extremely limited.

DEPS has negotiated a block of rooms at government rates for Symposium attendees at the Hyatt Regency Hotel. To make a reservation at these reduced rates, use the hotel's online reservation system, or call the hotel directly at 800-233-1234 and use group code: G-DEP5. Make your reservation early; the room block will expire on Friday, 24 October 2025.

The Hyatt Regency Monterey Hotel reserves the right to enforce their policies, procedures, and cancellation fees. Please note that the Hyatt strictly enforces a 72-hour cancellation policy. DEPS is not responsible for any hotel cancellation charges, penalties, or billing discrepancies.

Companions

Companions are always a welcome addition to any DEPS meeting. To encourage them, we offer companion meal options at an additional cost. Our full meal option includes all meals taking place at the hotel including breakfast and lunch Wednesday and Thursday, and any evening and specialty functions that may be planned. For those companions who do not want to be tied to scheduled meal functions, we also offer a reception only option which includes only the Tuesday evening reception.

Companion tickets will be available for sale when registration opens through an online form that will be available here.

Upon arrival, those checking the "companion information needed" box on the registration will have a dedicated meeting to include information on local points of interest. To assist companions in making plans for their stay, an onsite specialist will meet with interested parties on Tuesday at 9:30 am. Companions can then decide individually or as a group, what local attractions and/or tours they would like to attend.

Note that the technical sessions of the Systems Symposium have limited participation requirements. More security information will be available soon.

Attendance for the DE Systems Symposium and its short courses is restricted to U.S. citizens who are employees of the U.S. Government or its contractors.

Two half-day courses can be selected for the price of a full-day course.
 

Registration fees include participation in all Symposium sessions for which the attendee qualifies, breakfast snacks(1), coffee breaks, clunch Tuesday through Thursday, and the evening reception on Tuesday. Short course registrations include all student course materials and Continuous Learning Point (CLP) credits for successful students. Additionally, morning courses include breakfast snacks, and a box lunch is provided to those attending afternoon courses. Short courses can be purchased separate from your Symposium registration by using a form that will be available here soon.

(1) Government registration fee includes everything that the standard registration fees do with the exception of breakfast. Breakfasts are not included with the government registration; however, they will be available as an additional separate purchase at $17 each day. If need to purchase these separately, please register first, then contact the DEPS office to add Government breakfasts to your registration if using a different credit card.

(2) Esteemed Leaders are fully retired DEPS members no longer working in the field but have a desire to keep up with the DEPS community. If this is you and you are willing to volunteer for two half-days of service during the Symposium, we would love to have you. In exchange for your help in putting on a successful program, we can offer a reduced rate for your attendance to the overall symposium. Please email Raheela@deps.org for more information.

(3) Full time students will be admitted at reduced charge provided they agree to assist DEPS staff for two half-days of service. If this condition is not met, students will be required to pay the full registration fee.

Persons requesting cancellation through 20 October will receive a full refund. Cancellations after 20 October are subject to a $100 cancellation fee. There will be no refunds for short courses after 10 November or for the event after 14 November.
