Attendance Information

Attendance at the Directed Energy Systems Symposium and its short courses is limited to U.S. citizens who are employees of the U.S. Government or its contractors and hold necessary security clearance and/or need-to-know. Note that the technical sessions of the Systems Symposium have limited participation requirements. Please be sure to read the security information below.

Location & Accommodations

Technical sessions of the Directed Energy Systems Symposium will be held at the Hyatt Regency Monterey Hotel (Visit the hotel website, but use the link below to book your room), 1 Old Golf Course Road, Monterey, California and at a nearby offsite location within walking distance. Although a shuttle bus will be available, most Symposium attendees choose to walk between venues. Private auto access to the offsite location is greatly restricted, and parking is extremely limited.

DEPS has negotiated a block of rooms at government rates for Symposium attendees at the Hyatt Regency Hotel. To make a reservation at these reduced rates, use the hotel's online reservation system from the link below, or call the hotel directly at 800-233-1234 and use group code: G-DEP5. Make your reservation early; the room block will expire on Friday, 24 October 2025.

The Hyatt Regency Monterey Hotel reserves the right to enforce their policies, procedures, and cancellation fees. Please note that the Hyatt strictly enforces a 72-hour cancellation policy. DEPS is not responsible for any hotel cancellation charges, penalties, or billing discrepancies.

Companions

Companions are always a welcome addition to any DEPS meeting. To encourage them, we offer companion meal options at an additional cost. Our full meal option includes all meals taking place at the hotel including breakfast and lunch Wednesday and Thursday, and any evening and specialty functions that may be planned. For those companions who do not want to be tied to scheduled meal functions, we also offer a reception only option which includes only the Tuesday evening reception.

Companion tickets can be purchased either with your symposium registration (below), or separately using this online companion registration form.

Upon arrival, those checking the "companion information needed" box on the registration will have a dedicated meeting to include information on local points of interest. To assist companions in making plans for their stay, an onsite specialist will meet with interested parties on Tuesday at 9:30am. Companions can then decide individually or as a group, what local attractions and/or tours they would like to attend.

Two half-day courses can be selected for the price of a full-day course.
 

Registration fees include participation in all Symposium sessions for which the attendee qualifies, breakfast snacks(1), coffee breaks, lunch Tuesday through Thursday, and the evening reception on Tuesday. Short course registrations include all student course materials and Continuous Learning Point (CLP) credits for successful students. Additionally, morning courses include breakfast snacks, and a box lunch is provided to those attending afternoon courses. Short courses can be purchased separate from your Symposium registration by using this short course registration form.

(1) Government registration fee includes everything that the standard registration fees do with the exception of breakfast. Breakfasts are not included with the government registration; however, they will be available as an additional separate purchase at $17 each day. If need to purchase these separately, please register first, then contact the DEPS office to add Government breakfasts to your registration if using a different credit card.

(2) Esteemed Leaders are fully retired DEPS members no longer working in the field but have a desire to keep up with the DEPS community. If this is you and you are willing to volunteer for two half-days of service during the Symposium, we would love to have you. In exchange for your help in putting on a successful program, we can offer a reduced rate for your attendance to the overall symposium. Please email Raheela@deps.org for more information.

(3) Full time students will be admitted at reduced charge provided they agree to assist DEPS staff for two half-days of service. If this condition is not met, students will be required to pay the full registration fee.

Persons requesting cancellation through 31 October will receive a full refund. Cancellations after 31 October are subject to a $100 cancellation fee. There will be no refunds for short courses after 10 November or for the event after 14 November.


Security

The 2025 DEPS DE Systems Symposium will be composed of both classified and unclassified, limited distribution (CUI) sessions. The highest level of classified information to be presented at the 2025 DE Systems Symposium will be SECRET/NOFORN. See below for security requirements for individual sessions.

Note: Registered companions and exhibit staff who do not attend program sessions do not have to meet these security requirements.

Submitting Visit Requests and Attendance Requirements

All persons wishing to attend the 2025 Systems Symposium must submit a visit request and meet the requirements for sessions they wish to attend. Select the checkbox next to your desired attendance level to view detailed visit request requirements/instructions for that option.

DISS Access - Classified Session Attendance 

Please note that classified visit requests for participation in sessions held at offsite location must be received by NPS no later than 1500 MST Monday 3 November 2025. There will be absolutely no exceptions.

Eligibility Requirements: Participation in the classified sessions will be restricted to U.S. citizens only from government, industry and academia with an appropriate security clearance and need-to-know.

DoW Government/Contractor Instructions: Eligibility and access for all DoW government and contractor attendees will be verified using DISS. Please send a visit notification to DISS SMO Code 622715 with the following information:

Access to the classified and CUI sessions at the offsite location will be by CAC Card or completed and verified SECNAV 5512 form. If you do not have a CAC, be sure to complete the SECNAV 5512 form.

No DISS Access - Classified Session Attendance 

Please note that classified visit requests for participation in sessions held at offsite location must be received by NPS no later than 1500 MST Monday 3 November 2025. There will be absolutely no exceptions.

Eligibility Requirements: Participation in the classified sessions will be restricted to U.S. citizens only from government, industry and academia with an appropriate security clearance and need-to-know.

Government/Contractor Instructions: Visit Requests must be printed on command letterhead and submit it via DoD Safe or email to dryan@nps.navy.mil. You must include the following information:

  1. Full Name and SSN
  2. Purpose of visit: DEPS DE Systems Symposium
  3. Dates of visit: 17-21 Nov 2025
  4. Clearance level
  5. Type of Investigation and Date investigation completed.

Access to the classified and CUI sessions at the offsite location will be by CAC Card or completed and verified SECNAV 5512 form. If you do not have a CAC, be sure to complete the SECNAV 5512 form.

Hotel Sessions Only (CUI) 

CUI visit requests for participation in hotel sessions must be received by DEPS no later than 1500 MST Friday 7 November 2025.

Eligibility Requirements: Participation in all hotel sessions will be restricted to U.S. citizens only from government, industry and academia with an appropriate need-to-know.

CUI Visit Request Instructions:

  1. Download the visit request template
  2. Complete the template and print it on company letterhead.
  3. Fax the signed, completed form on letterhead to 505-998-4917 or email it to kat@deps.org.
  4. Note: attendees CANNOT sign their own form.

For verification of receipt of CUI Visit Request Letters, please call the DEPS office at (505) 998-4910.

NOTE: Any CUI presentations taking place in the classified sessions WILL REQUIRE A SECURITY CLEARANCE to be briefed or viewed. See instructions above to submit a classified visit request.

Attendees without a CAC needing base access for offsite sessions

Access to the offsite location will be by CAC (Common Access Card). Cleared attendees who wish to attend these sessions but who do not have a CAC allowing for base access must fill out the SECNAV 5512 form below, and send to NPS by 1500 PST on 17 October 2025. Please follow all steps listed below.

  • **NOTE: Submit this form to NPS no later than 3PM PST Friday, 17 October 2025.
  • **NOTE: The form asks for "SSN" and "DOB"; however, DO NOT INCLUDE that information on this form. Rather, once the form has been sent, please call 831-656-3124 and provide this PII information directly to Raquel Herold.
  • **NOTE: DEPS Staff CANNOT accept these forms or clearances on behalf of NPS. Please DO NOT send them to the DEPS Office.
  1. Download and complete the SECNAV5512 form.
    • Please email to NPS POC: Raquel Herold , rherold@nps.edu
  2. Call Raquel Herold at 831-656-3124 to provide SSN and DOB.

**BASE ACCESS REQUESTS MUST BE RECEIVED NO LATER THAN 3PM PST FRIDAY, 17 OCTOBER 2025. THERE WILL BE ABSOLUTLY NO EXCEPTIONS MADE FOR BASE ACCESS AFTER THIS DATE.**


Note that a government issued picture ID will be required at check-in and upon entry into the classified and CUI sessions. Laptops, cell phones, and other such electronics will not be allowed in the classified sessions; please do not bring them to the classified meeting site. Videotaping, photography or audio recording of any session at this meeting is strictly prohibited. Note taking will not be allowed in any of the classified sessions presented at the DEPS DE Systems Symposium.
