User Accounts
Individual user accounts are required for various functions including all event registrations. Each user is responsible for maintaining the confidentiality of their own login credentials and must not share them with anyone else. If a user needs assistance, they may designate authorized delegates who can register for events on their behalf. Please email info@deps.org with the list of user accounts you would like assign as delegates to your account.
REGISTRATION FOR EVENTS
Registration Types
The following categories are available for event registration. Users are prompted to certify the required qualifier in the Eligibility Category of their User Account for all categories except Standard Registration.
- Standard Registrants are industry personnel, contractor employees, academic staff, and all other individuals who are not employees of the U.S. Federal Government, active-duty military, or full-time students. Standard Registrants can DEPS members or non-members.
- U.S. Government Employee (Federal) and Active-Duty Military registration fees are valid for current Federal U.S. Government employees and Active-Duty Military only. Government contractors are not included and .ctr emails do not qualify for this category.
- Esteemed Leaders are retired society members who are willing to provide mentorship to early-career professionals (Note that for the Annual Science & Technology Symposium this requires attendance at the Early-Career Professional Mentor Reception). In exchange for their help in putting on a successful event, we can offer a reduced rate for their attendance at the overall symposium. Esteemed leader designation can only be assigned by DEPS staff. Please contact info@deps.org to verify eligibility or for more information.
- Full-Time Students are defined by enrollment in a degree program and carrying a full course load, which varies by institution but typically ranges from 12 to 18 credit hours per semester for undergraduate students. Graduate programs sometimes requiring fewer credit hours to maintain full-time status, DEPS considers 9 to 12 credit hours per semester (Fall/Spring) to be full-time. The student must be enrolled at an accredited educational institution with a regular teaching staff and a structured course of study. Full-Time Students can be DEPS members or non-members.
- Qualifying Full-Time Student registration applies only to the Annual Science & Technology Symposium. These students will be admitted at a reduced charge provided they (1) have been awarded a current or past research grant through DEPS, (2) attend the DE Education Workshop, (3) present at either the Symposium or the Workshop, (4) agree to assist DEPS staff for a half day of service (if needed), AND (5) meet the qualifications of a full-time student. Event Registration Fees Include
Registration for the full event fees provide access to all eligible Conference sessions (subject to security requirements), breakfast, snacks, coffee breaks, lunch Tuesday–Thursday, and evening reception(s).
Short Course Registration
Short course registration fees include student materials, refreshments, and Continuous Learning Point (CLP) credits for students who successfully complete the course. Morning courses include breakfast snacks, and a box lunch is provided to those attending afternoon courses.
Registration Fee Accuracy Policy
If an event registration is purchased at an incorrect price, we reserve the right to charge the difference between the amount paid and the correct registration fee.
Cancellation Policy
- Attendees who cancel 28 calendar days or more prior to the start of the event will receive a full refund.
- Cancellations made between 28 and 7 calendar days prior to the event are subject to a $100 cancellation fee.
- No refunds will be issued for short course cancellations made within 7 days of the course start date, or for event cancellations made within 3 days of the event start date.
Protecting Your Credit Card Information
When you pay for a DEPS transaction online, the credit card information provided by you is passed directly to our payment gateway Authorize.net using the Secure Socket Layer (SSL) Protocol to ensure transaction security. Your credit card information does not pass through the DEPS webserver and is not retained by DEPS.
ONSITE EVENTS
Onsite Conduct Policy
DEPS reserves the right to remove anyone from the Symposium without warning for violation of onsite policies.
Photography and Recording Policy
Photography, Audio and video Recording is Prohibited at all DEPS events.
Badge and Identification Requirements
Session entry requires a badge and ID check at each entrance. Both badge and ID must always remain visible.

Governance Policies
DEPS Directors Conflict of Interest Policy
- Members of the DEPS Board of Directors are prohibited from involvement in DEPS activities that have either the appearance or the reality of a conflict of interest between their DEPS position and responsibilities, and their private capacities. If such a conflict of interest arises, DEPS Board of Directors members are required to recuse themselves from Board of Directors decisions or recommendations to avoid the appearance or reality of such a conflict of interest. For example, Board members who are employees of the government or private firms must recuse themselves from participating in discussions and decisions regarding their organizations doing business with DEPS.
- This example typifies but does not exhaust the situations that can require individual Board members to recuse themselves due to conflicts of interest.
DEPS Policy on Lobbying
- Lobbying involves the advocacy of an interest that is affected, actually or potentially, by the decisions of government leaders. Education and outreach, as distinct from lobbying, is allowed when DEPS presents unbiased factual information.
- DEPS shall not engage in lobbying activities.

- DEPS respects and is committed to protecting your privacy. We do not sell or pass along your personal information to anyone. Name, address and other identifying information that you provide is used by DEPS strictly for business purposes.

- The position of the DEPS Board of Directors is that DEPS will not participate in any activities for which a majority of the Board of Directors members cannot be involved. DEPS By-Laws are the governing set of rules.

DEPS Copyright Policies
- The use of the DEPS Logo or the use of the Society's name in such a way as to imply a sanction by DEPS is not permitted without written permission from the DEPS Executive Director. Requests should include the purpose of the page(s), the name of the person responsible for the content, and the site on which it will reside. This permission will, in general, be granted for legitimate purposes, provided certain general guidelines are met.

- In return for the copyrights, DEPS hereby grants the authors and the employers for whom the work was performed royalty-free permission to:
- retain all property rights other than copyright, such as patent rights,
- reuse all or portions of the above material in other works,
- reproduce or have reproduced the above material for the authors' personal use or for company use provided that (a) the source and DEPS copyright are indicated, (b) the use of the copies does not imply DEPS endorsement and (c) the copies, per se, are not offered for sale,
- make limited distribution of all or parts of the material prior to publication, and
- in the case of work performed under U.S. government contract, DEPS grants the U.S. government royalty-free permission to reproduce the above material, for government purposes.
